Setup guide

Set up Hepio in Slack

Hepio runs inside your Slack workspace. Setup takes about ten minutes: a Slack admin approves the app once, and a campaign admin launches the first challenge from the Hepio dashboard.

Hepio is in early access. Your workspace has to be approved before the install link works. Join the waitlist or contact us to request access. Request access

Before you start

  • A Slack workspace (paid or free plan).
  • Someone who can approve apps in that workspace. On many workspaces this is a Slack admin or owner.
  • One or two people who will run campaigns. They become Hepio admins.

Steps

  1. Step 1: Request access

    Anyone

Send us your Slack workspace ID (it starts with T and appears in the browser address bar as app.slack.com/client/T…) and the Slack member ID of the first campaign admin (Profile, then the three-dot menu, then Copy member ID; it starts with U). We approve the workspace and confirm by email.

  2. Step 2: Install Hepio in Slack

    Slack admin

Open the install link, review the permissions and choose Allow. If your workspace requires app approval, Slack sends the request to your admins first.

    Install link (approved workspaces)
  3. Step 3: Sign in to the dashboard

    Campaign admin

Open the dashboard and choose Sign in with Slack. The first admin gets access automatically; they can add more admins under Settings, Permissions.

    Open the dashboard
  4. Step 4: Create and launch a campaign

    Campaign admin

Choose New campaign. Pick the Slack channel, set start and end dates, define what counts (for example a #walk post with a photo), set a shared goal and review. Launching asks for confirmation, then Hepio posts a short launch message in the channel. For private channels, invite the app first with /invite @Hepio.

  5. Step 5: Invite the team

    Everyone

People join voluntarily from Hepio's Home tab in Slack or with the /hepio command. They can see the rules, their own points and the team goal, and opt out at any time.

What Hepio asks Slack for, and why

Read messages in channels Hepio is added to
To recognize posts that match a campaign rule. Message text is never stored.
Read reactions
To count positive reactions when a campaign rewards them.
Post messages
For launch, milestone and optional weekly summary messages in the campaign channel.
Slash command and Home tab
So people can join, see the rules and track progress.
List channels and basic member info
For the channel picker and to show names in the dashboard.

Hepio stores Slack user ids, display names and scoring records. It never stores message text or files, only processes the channels of active campaigns, and reports participation in aggregate.

Troubleshooting

The install page says the workspace isn't allowed
The workspace hasn't been approved yet. Request access first.
Sign-in says Hepio isn't installed
Install Hepio in the same workspace you are signing in with.
Sign-in says the dashboard is for campaign admins
Ask an existing Hepio admin to add you under Settings, Permissions. Participants use Hepio in Slack only.
Posts in a private channel don't earn points
Invite the app to the channel with /invite @Hepio, and make sure the person joined the campaign.
A post didn't earn points
Check the campaign rules (for example the hashtag and photo requirement), the campaign dates and the daily limits. Points appear within a few seconds.

Using ChatGPT or Claude?

Ask your assistant to read our setup notes and guide you step by step. It can explain each step and help you plan your first campaign, but a person has to approve the app in Slack and sign in.
